Summary


Provide high level project, legal secretarial and administrative support under minimal direction to one or more General Counsels or Head Counsels, and their teams.


 


Essential job responsibilities

  • Be the professional “face" of the Local legal department leadership

  • Liaise with external and internal contacts on the phone and face-to-face to ensure issues are resolved accurately and promptly

  • Screen, prioritize, annotate, and address incoming information and communications

  • Coordinate and liaise with other Executive Assistants and Administrative Assistants to maintain continuous and seamless support for the local legal department leadership

  • Timeliness and accuracy of communications

  • Customer feedback

  • Provide legal support in collecting, preparing, retaining, and organizing legal documents, including coordination of corporate litigation materials, market conduct materials, etc

  • Proactively support local legal department leadership in dealing with highly confidential matters such as acquisitions, staffing issues, and Corporate Secretarial functions

    • Establish and maintain legal files and records materials; assist in the preparation of timekeeping, travel, and expense reports

    • Conduct internet research as directed by management; schedule and arrange meetings and conferences; make travel arrangements; calendar maintenance

    • Under counsel supervision, create, transcribe, revise, proofread, and maintain a variety of litigation or transactional documents



  • Manage key projects on behalf of General Counsel or Head Counsel to support delivery of project objectives.

    • Correspondence, reports, spreadsheets, briefing papers, and presentations for meetings/conferences

    • Executive level documents (e.g., Board papers)

    • Reports and data to support project planning and completion



  • Serve as gatekeeper and ambassador for local legal department leadership to optimize the Executive’s time; under minimal direction:

    • Organize internal and external meetings, book venues and meeting rooms, make arrangements for equipment and catering, and ensure invitations and notes are distributed in a timely fashion

    • Organize travel itineraries for the senior manager/members of the team to ensure travel, accommodation, and currency arrangements are made in compliance with Corporate standards and requirements

    • Perform complex diary management and scheduling for General Counsel  and Head Counsel



  • Communications that are clear and effective

  • Timeliness, quality, and accuracy of work produced to service level agreement

  • Efficiency of record keeping

  • Compliance with QBE standards on travel and expense management

  • Professionalism and confidentiality

  • Timeliness


 


Required education and experience



  • High School Diploma

  • 1-3 years experience working in a corporate legal department or law office


 


Job Related Knowledge and Skills:



  • Basic knowledge of various legal research materials

  • Basic legal research and analysis skills

  • Excellent written and oral communication skills

  • Excellent organizational skills

  • Attention to detail

  • Demonstrated professionalism in handling confidential and/or sensitive information

  • Ability to work independently on assignments of standard difficulty; may handle some moderately complex tasks independently

  • Highly proficient with PCs and applicable software including

  • Microsoft Excel, Word, and Access

  • Background in Insurance or Business certificate from an ABA-accredited program
